Community feedback request: changes to Digital.ai Release Lock task functionality

We are reaching out to gather your feedback on some potential changes to the🔒 Lock task functionality based on recent customer insights.

Current behavior:

  • Task assignment: When a task is locked, users who have "Assign task ownership" permission can reassign the task to someone else, including themselves.

  • Task completion: Since these users can assign it to themselves, they are also allowed to complete the locked task.

  • Task status change: When a task is locked, users who have "Perform task transition" or "Perform task transition in advance" permissions can change the status of the task even if they are not assigned to it.

  • Task completion: These users can complete or skip the locked task, even if they are not assigned to it.

This functionality was originally implemented to prevent tasks from becoming bottlenecked if the assigned person was unavailable.

Proposed changes:

  • Task completion: Only users assigned to the task (either as the owner or part of the team) can complete it when it is locked.

  • Task reassignment: Only users with "Lock task" permission can unlock, reassign, and then lock the task again.

  • Permission adjustment: Users with "Perform task transition" or "Assign task ownership" permissions will no longer be able to change the assignment and status transition of locked tasks. Only users with "Lock task" permissions will be able to make these changes. This represents a significant change from the current behavior.

Feedback:
We believe these changes will improve the integrity and security of the task locking mechanism, ensuring that tasks are only manipulated by the appropriate individuals. However, we understand this is a significant shift and may impact your workflows. We would be curious to know your feedback on the following points:

Do you foresee any issues with the proposed changes? Do you have suggestions for improvement?

Thank you!
